Get the subject line right
Make it easy for the recipient to know what the email is about at a glance. A clear format works best: "Application for [Job Title] — [Your Name]", adding a reference or job ID if the listing provided one.
Structure the body simply
Keep it short — a hiring manager or recruiter should be able to read it in under 20 seconds.
- A brief greeting, using the person's name if you have it
- One line stating the role you're applying for and where you saw it
- Two to three lines on why you're a good fit — your most relevant skill or experience
- A note that your resume (and cover letter, if asked for) is attached
- A polite closing line with your name and contact number
What to attach
Attach your resume as a PDF unless another format is specifically requested. Only include a cover letter if the listing asks for one, or if you have something genuinely specific to add that doesn't fit in the resume — don't pad the email with a full cover letter by default.
A simple template
Subject: Application for Software Developer — Priya Sharma Hi [Name], I'm writing to apply for the Software Developer role at [Company], which I saw posted on HireMitra. I have [X years / relevant project experience] in [relevant skill], and I believe my background in [specific, relevant detail] would be a good fit for this role. My resume is attached. I'd welcome the opportunity to discuss further. Thanks for your time, [Your name] [Phone number]
Tone and length
Keep it professional but not stiff — write the way you'd speak in a first meeting with someone you respect. Five or six short lines is usually enough; the resume and application should carry the detail, not the email.
